Last updated: October 15, 2026

The Flip Ledger Rentals is operated by The Flip Ledger LLC ("we," "us," or "our"). We provide the The Flip Ledger Rentals application and website at theflipledgerrentals.com (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

Information We Collect

We collect information you provide directly to us, including:

  • Account information: name, email address, phone number, and password when you register.
  • Property and rental information: property and unit addresses, lease terms, rent amounts, and maintenance details you enter.
  • Financial data: rent, expense, and payment information you input, and rent payments processed through Stripe.
  • Photos and files: images, receipts, and documents you upload to the Service.
  • Payment information: billing details processed securely through Stripe (see Payment Processing).
  • Tenant, applicant, and resident information: when you use screening, applications, leases, or the Legal Center, we store on your behalf applicant and tenant names, contact info, emergency contacts, employment and income details, current/previous residence and prior-landlord details, personal and landlord references (names and phone numbers of third parties the applicant provides), lease terms, and uploaded documents such as proof of income, tenant screening reports, and photo ID. We do NOT collect full Social Security numbers or Social Security cards; tenant screening reports are obtained by the applicant from a third-party screening provider and uploaded by them.
  • Tax identification numbers: for contractors you add for 1099 reporting, we collect Tax ID / SSN / EIN, which are stored encrypted and are only accessible server-side.
  • Phone call data: if you enable the AI Receptionist, calls it answers may be recorded and transcribed, and call summaries stored (see AI Features).

We also automatically collect certain information when you use the Service:

  • Device information: device type, operating system, and unique device identifiers.
  • Usage data: pages visited, features used, and time spent in the app.
  • Log data: IP address, browser type, and app crash reports.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Process transactions and send related information, including confirmations and receipts.
  • Send administrative messages, updates, and security alerts.
  • Respond to your comments and questions.
  • Monitor and analyze usage patterns to improve user experience.
  • Detect, investigate, and prevent fraudulent or unauthorized activity.
  • Comply with legal obligations.

Responsibility for Tenant and Applicant Data

As a landlord or property manager using the Service, you are responsible for the tenant, applicant, and third-party reference information you collect or enter, including having any consent required to request screening reports and to store information about those individuals. We act as a processor of that data on your behalf and use it only to provide the Service to you. You are responsible for compliance with fair-housing, FCRA/adverse-action, and applicable screening laws.

Data Storage and Security

Your data is stored securely using Supabase, a cloud database provider. We implement industry-standard security measures, including encryption in transit and at rest, access controls, and database row-level security that isolates each account's data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

We retain your data for as long as your account is active or as needed to provide the Service, and as required for legal, tax, or accounting compliance. You may request deletion of your account and associated data at any time by contacting us.

Payment Processing

Payments are processed through Stripe, Inc. Subscription billing for your account is handled by Stripe. If you enable rent collection, tenant rent payments are processed through Stripe and paid to your own connected Stripe account; you are the recipient of those funds and are responsible for your Stripe account and for any tax and legal obligations arising from collecting rent. We do not store full card numbers.

Because we operate the payment platform that facilitates these charges, we can access transaction records for the connected accounts we service in order to provide support, troubleshoot payments, prevent fraud, and handle disputes. We access this data only to operate the Service. Stripe's privacy policy is at stripe.com/privacy, and rent collection is also subject to Stripe's Connected Account Agreement.

AI Features

Some features use AI. The AI Receptionist, if you enable it, connects to your own third-party provider (Retell) using your own account/API key; calls it answers may be recorded and transcribed so you can review them, and you are responsible for any legally required caller notice or consent, including in all-party-consent jurisdictions. AI application summaries produce a plain-language recap of applicant-provided facts for your review and are not a recommendation.

E-Signature and Documents

Leases and documents you send for signature are stored securely, including signer names, signature records, and signed files. You may optionally connect your own Dropbox Sign account; otherwise documents are sent for signature through the Service.

Sharing of Information

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • With service providers who help us operate the Service, under agreements limiting their use of it, including: Supabase (database and authentication), Stripe (payment processing and payouts), Resend (transactional email delivery), Retell (AI Receptionist call handling, recording, and transcription, if you enable it), and Dropbox Sign (e-signature, if you connect it).
  • If required by law or to protect our legal rights.
  • In connection with a merger, acquisition, or sale of assets.
  • With your consent.

Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your personal data.
  • Export your data in a portable format (CSV export available in-app).
  • Opt out of promotional emails by clicking "unsubscribe" in any email.

Depending on where you live, you may have additional rights under your state's or region's privacy laws (for example, California and other states with comprehensive privacy laws). To exercise any right, contact us using the details below. Note that for information a landlord entered about a tenant or applicant, the landlord may also control that data.

Account Deletion

You may request deletion of your account and associated data at any time by contacting us. Deletion permanently removes your tenants, applicants, documents, and related records, except information we must retain for legal, tax, or accounting compliance.

Children's Privacy

The Flip Ledger Rentals is intended for adults and is not directed to children under the age of 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact us and we will delete it.

Third-Party Services

Our Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the updated policy.
